A designer finishes a campaign layout, then several colleagues adapt it for local events. The challenge is allowing useful edits without losing the identity that made the original work. Canva and Adobe Express both offer shared brand workflows. Follow the template into another person’s hands to see what each setup actually protects.
Canva: organize the starting point and its editable parts
Canva’s Brand Kit documentation explains how teams collect brand materials and approved templates. Its template-lock guide describes protecting key elements before publishing, with admins and brand designers controlling the locks.
For the campaign, that gives the team two things to evaluate: whether colleagues can find the approved starting point and whether the intended fields remain editable. Ask a publisher to change a venue and replace an image while preserving the logo and layout. If a lock blocks legitimate work, the handoff needs adjustment rather than a workaround that sends everyone back to an ungoverned copy.
Adobe Express: constrain the brand styles in shared templates
Adobe’s brand style restrictions guide documents limits on the colors and fonts collaborators can use in a shared template. It identifies these controls as Teams and Enterprise features and explains that the template must be connected to the relevant brand or library.
The documented exceptions matter. Black, white, and transparent colors remain available, and translation can introduce language-specific font needs. For a multilingual campaign, test those conditions directly. A restriction that looks complete in the original language may behave differently when the content changes; the person responsible for brand review should know what is intentionally allowed.
Change the content until the template has to work
Give both workflows the same assets, a longer headline, a replacement photograph, and a second language. Invite a colleague using the access level they will actually have. Inspect the adapted design and the exported file, then note when that colleague needed help from the original designer.
Compare the maintenance and review effort alongside the finished result. Confirm current plan entitlements and asset rights separately. The useful choice is the workflow that preserves the decisions your team needs while leaving publishers enough room to do their jobs.
